Microsoft provides users with multiple Office 365 plans. Sometimes, it can be hard to choose what is the best plan that fits your company needs. Here are some useful tips to help you make your decision.
#1 – Category
The first selection criteria for your plan is to know which category you need to choose from Office 365 plans. It starts with the question: “Business or enterprise?”. The main difference between the license for business and enterprise is the limitation of the number of users. The business license has a limit of 300 users. So if your company needs to get permission for more than 300 users, you have to go with Enterprise license.
The second selection criteria is the unified communication. Comparing between two versions, only Enterprise license allows telephone number integration (PSTN) with Skype for business.
About Other categories?
Microsoft provides these options:
- Frontline Workers
They are used to reach specific groups with a lower price. For example, Education license will provide a free license for students, teachers, and schools. However, it is available only with some online features like Word and Excel. Then if they want to get the full Office applications for PCs or Macs, they need to get the paid license.
#2 – Software Required
The choice of the plan will be based on the Office application that you need to use.
Office 365 Business and Office 365 Business Premium will provide full Office on PC/Mac with apps for tablets and phones
Office 365 Business Essentials will prove the online version of Office.
#3 – Monthly or Annual Subscription?
Each license can be assigned and removed from a user, so the strategy for monthly or annual subscription is essential to optimize the cost. It depends on the frequent change in the number of your employees. Going with an annual subscription is cheaper but if at the end of the subscription some employees leave your company, the advantage of getting a cheaper license will be lost.
#4 – Use Individual Service
For specific needs/users, it can be an advantage to use the individual service. For example, using only Exchange license or one drive license. You can reduce the cost and limit access to other services.
#5 – Mix Multiple Plans
Mix multiple plans can be harder to administrate, but it can be a good decision to optimize the cost.
Business Essentials with annual subscription for Full-time Employe
Entreprise K1 with monthly subscription for Part-time Employe
Exchange online with monthly subscription for Partner
